HP 4100 tray selection with letter head and plain

Our 4100 with the latest PCL6 drivers is giving our secretarys issues. All the want to do is print their letter head docs or plain docs by hitting the print icon at the top of the docs in word 2000, then word or the printer will figure out what to print on.

We normally set the page setup on a master doc and then have them make all new docs off of that as it saves teh settings for future prints. We have the printer setup as tray 1= first, tray 2= plain, tray 3= plain. The page setup options in the doc are set to first page= tray 2, other pages= plain for letter head docs, and both trays to plain fdor regular printing.

In the printer we have tray one open all of the time for envelope printing, tray 2 stocked with letter head, and tray 3 filled with plain paper.


All is well if tray 1 is closed and they print one of their letter head docs or plain docs. The printer/word will figure out what to do and orint on the approprait paper. BUT if they leave tray 1 open after they printed an envelope and then try to print a letter head doc it will ask to insert letter into tray one and press go. It used to not care if tray one was open or not. Now they have to keep it closed until they print envelopes, the run over open the tray, put an envelope in it and then close after it hasd printed.

Another problem is that on some docs they have the page setup options set to first page = letter head, other pages = plain.

We have hundreds of documents and most are set up as first page= tray 2, other pages= tray three. We would like to keep it like that so we don't have to change the page setup options in each doc that has already been created.
 
What are the override A4/Letter option set to ? It would be better to change the papertype in either tray 2 and 3 to be something different, as the printer will continue from tray 3 if tray 2 runs out of paper. The printer has the highest "rank" when deciding where to take the paper from and if two trays are set up equal in the paperhandling menu, you cannot expect it to behave like you want to from your application as the printer thinks the two trays contains the same paper in your case. Try to avoid using tray number selections from applications, but focus on selecting papertype instead as the printer will then figure where the desired paper is. Confused ? Take a look in the FAQ :
