Hi All, I am using Excel to do Data Filters on LARGE REPORT. By Large I mean over 5000+ lines. However when I do a filter on one of the rows not all the data is being displayed. Does anyone know of any limits or restriction on the number of entries that can be displayed in a filter?

What I have to do in order to find the one entry I am looking for is filter all the headers, then I use the filter on the location header and filter by the location where this one entry is, then I can go to the other header and find what I am looking for.

Thanks!

Excel 95 - 250 unique entries
Excel 97 - 1000 unique entries
Excel 2000 - 1000 unique entries
Don't know about XP

As a workaround, you can use custom filter and type in the value that you want to filter on

Actually ~Geoff~ that does not work. Since the data filter only holds the first 1000 entries even if I do a custom filter it is only searching those first 1000 so it is not bringing up the field I am looking for. I acutally have to sort by location where I know the data that I want to find is then I can do a custom filter or just use the drop down and scroll to the entry. Thanks though!

I actually meant that if you know what value you want to filter on, you can type it into the custom filter - even if it doesn't show up in the list it should still work

~Geoff~ I do understand what you meant but it does not work that way. It looks like it is taking the first and only the first 1000 entries and those are the only ones I can do the search on. It stops searching after the first 1000 and does not go on.

if it's doing a search on only the first 1k, r u sure there is not a break in the list? like a blank row?

Well I just tested it in NT / 97
Dragged down an autonumber for 15000 rows, placed a filter on it
Only values 1-1001 were shown in the dropdown
typed 12523 into the custom filter box and whaddya know, it fioltered to the row 12523....... Rgds

I want to appologize to everyone (especially ~Geoff~) I was making a mistake on my end and you were all right. I want to thank you for your comments and suggestions, also want to say sorry for being a pain in the butt.
Thanks again

No worries - we all live and learn (and make mistakes along the way) ;-)
