Set up Resource in Outlook... Free Busy

I have set up our meeting rooms with their own mailboxes on Exchange so people can book them as resources in Outlook.

Unfortunately when I add the meeting room (any of them) to the Scheduling, their Free-Busy time does not show. And because it is set to auto decline conflicts, etc., the meeting won't send.

Can anyone help? Have I missed something?

Here's what I did:
1. Create User object in AD.
2. Name: LonMeetingRoom-Jessop
3. In Outlook under this account, Tool->Options
4. Resource Shcheduling, auto decline etc. check boxes ticked.
5. Set permissions so everyone can contribute, and a slect few can delete, etc.

Then I left it for a day, just in case there were some Refresh issue with teh directory (sometimes there is).

I can now see the room in the Directory, I can set it correctly as a resource on the SCheduling tab of a new Meeting request... but no Free-Busy info (slanted lines all the way across this row).

Can anyone offer any help?

Will

Well, since it shows up as an Outlook account, doesn't it's calendar have to be made public. You know the option: "allow others to view/share my calendar" or something like that...

Yeah, that part o fthe "permn 5 (I was trying to be brief, as I'm sure everyone here has done this at least once before). :)

It's got me stymied.

I am literally now trying "outlook /cleanfreebusy", to see if this works.

Will let you know if it does.

Sounds pretty strange. Hope it works. [wink]

Well, it didn't make a difference.

But when I looked at the permissions again, I noted that the "Contributer" permission allows you to add calendar objects, but not to "Read" ojects.

So I have now changed the default permissions to Author (which includes Read and editing of own items).

This still does not work. I wonder if they need full access? Or maybe delegate rights?

Well, oddly, I added delegate access for all of our staff, which seems to be "Editor" access as well as "Send on Behalf", and suddenly it all worked.

So to remove "Send on Behalf" I removed the access from delegates and changed the Deafult access to "Editor". This seemed to work. However, this is much more access than is required or in fact wanted. So I changed it back to "Auther" access, and it now works okay.

It may be a refresh issue, in which case it'll break later, but I don't think so. Author seems to work.

I'm dizzy already! Glad it worked out - or at least works so far. [wink]
