Hello everyone,

I am very reluctant to setting up the built-in Access security because I keep hearing horror stories about problems and potential problems that can result in corrupted data or not being able regain entry to the database.

I am creating a multiuser database in our office and need a method of controlling what various groups of people can see or do in the database. These people are NOT the type to purposely try to harm the database or get into areas that they should not. However, there are about 5-groups of employees and they should see or have the capability to modify only certain parts of the file. Low security is needed.

How can I make a matrix using simple passwords to control this? Even though there are 5-groups, each person still needs to have his or her own password. Not one password for the group. I think that making a protected log-in form which will determine what forms each individual can see would be great. Some of the information needed for the forms and reports would be filled in automatically because the program would know who is signed on, who updated a file and when, automatically record the time they worked on a project, etc.

Any help would be appreciated.

Sherman,

Access security requires some studying, but ther3e is nothing to be afraid of. It will not corrupt anything, and the only way to lose4 any data is to fail to make proper backups.

Get the FAQ, read it several times, back up your database, and try securing a copy of it. It probably won't go right the first timeyou try it, if you're anything like most other Access developers. But after a few attempts, you'll get it. Once you do that, you'll habe the system down,a nd you'll have quite a powerful tool at your hands.

You can get the faq from MS or from my site.

It's MS's Access Security FAQ. There's a copy on my website (in the developer's section), or you can get it directly from MS.
