MS Word Hyperlink Location changes

We have two folders on a network drive, both are on the same level. VIDEO & DOCS

If I create a word doc and put a hyperlink to the video like this:

\\servername\sharename\video\1.mpg

The document is in:
\\servername\sharename\doc\1.doc

When I save the doc word the hyperlink path shortens to:

..\video\1.mpg

This is fine if I open from doc location. But our doc approval system copies the document to a temporary location on another server for people to view and approve. Well as you can guess when they open this from the doc approval system the video cannot be viewed.

Is there someway to keep word from modifing that UNC path.

If the file is copied to a different location...how is Word to know where that is? I also assume you mean MOVED. If it was just copied, then Word should still point to where the original location.

How are you making the hyperlink? Also, when you Edit Hyperlink, does it show the UNC in the address? What version? In 2002, Edit Hyperlink shows the fully qualified UNC - even thought the text of the hyperlink shows the mapped drive.

The issue does not sound like Word, but the doc approval systems moving a file...

If Word 2003, you can set the Hyperlink Base in File, Properties, Summary, Hyperlink base.
 
Word 2000, and no it is copying. I am using UNC that is how the file knows where the other file is. And it is a word problem.

Thanks BenRowe that sounds like it would do it. I'll search for a way to do that in 2000.

I am having a similar problem in Word 2000.

I am typing out the link directly, using UNC:

//server/share/path

But whenever I send the document in an email, the linking get's changed to relative, which is no good for others on my network.

HOw do I get the link to be direct and STAY direct?

If Word 2003, you can set the Hyperlink Base in File, Properties, Summary, Hyperlink base.

This seems to be working for me.

But when I set my base, then my table of contents in the document doesn't work. It simply opens an Explorer window up to the directory of my Base, instead of going to the page it's supposed to.

There has to be some way to do this in Word. They claim if I type my file in instead of selecting it with the browse thing, it should work. But it doesn't........
 
hmmm, looks like you need to have the path hard-coded, right?

Try this:
File_Properties_Custom
scroll until you find 'Source' (or even create a new property), and enter the path of the video folder as the value.
Now in the document, view field codes and select that part of the path in your hyperlink... Just the sub folder path portion, including the backslash that follows.
Now insert_Field_DocProperty and on the right side select 'Source'. Click OK.

Turn off field codes. Save the document.

Try to move the document to a different place and open it and see if the link works.
