merging an excel spreadsheet with word 1

Hi,

I want to insert an excel spreadsheet into word but conserve the setting of the excel spreadsheet, I have had to shrink the whole worksheet down to 1 page by 3, so its about 45% of its original size.

But when I import or copy it it wont fit on the word document properly, I need to have it on the word document as we always convert reports to PDF documents.

Unless anyone know who to merge two pdf documents together?

Hi Lee,

How are you inserting the file into Word? Copy & Paste or Copy & Paste Special using one of the available formats (with/withjout linking). This makes a difference to the answer.

I have tried both ways but neither seems to keep the worksheet at the same size as it is on excel.

Try protecting the Excel worksheet (Tools / Protection) before embedding into Word. I think this will preserve formatting.

No that does not preserve the formatting either thanks for the suggestion though.

Try inserting the Excel sheet into a protected Section in the Word Document.

Insert / Break / Continuous. Note the Section Number for the next step.

Protect the Section under Tools / Protect Document / FORMS. In this window click Sections and check the box next to Section Number you noted above.

These steps have protected general formatting for me in the past - in the Word doc, users could not change row height, column width, etc. However, I cannot say how your 45% shrinkage will be effected.

OK, so what aspect of the spreadsheet doesn't 'fit properly'?

Also, is there a reason you can't do the pdf conversion from within Excel?

Try copying the spreadsheet page at a time and using Edit - Paste Special - Picture (windows metafile) - to paste each page into Word.

Hi Lee,

OK, I think I now understand what the problem was - you were trying to paste more that one page of data at a time. Unfortunately, Word (or perhaps OLE generally) won't let you do that. Keep that for future reference.

While pasting multiple separate pages works, you'll probably have found that this dramatically increases the size of your Word document. That's because Word actually inserts the whole spreadsheet each time - but only the copied area is made visible.

Another way of achieving much the same result would be to create a series of embedded worksheets in Word, and set them up with external link formulae pointing to your source workbook, just as you would if you were linking between two workbooks. You may end up with a much smaller Word file this way. It also means the worksheet in Word can be formatted differently than the source workbook. There is a down-side, though: the links don't update automatically in the same way as a straight OLE link. Instead, you have to activate each embedded worksheet in Word to get it to update. You could use a macro to automate this, so that might be acceptable.
