ipecs Voicemail full

I finally made the change away from our analog tape machines and started using the inbuilt voicemail of our ipecs system.

This has been running for several weeks now and we have received over 1000 voicemails during this time.

I have a huge problem that is causing issues that has now happened twice.

On two occasions a voicemail has been left, the system sends an email. The msg_*.wav attachment will be under 1KB (122 bytes) and will not play in any media player. The problem is that system will report to anyone who calls after this happens that the system is full.

On the two occasions this has happened there was only 30 minutes of messages on the system (we clear messages daily).

My initial thoughts is that the system is writing a corrupt file which is taking up all the space.

Going through my email server logs there is nothing that looks out of place.

The problem is remedied by logging in with the Phonetage client which is linked to the mailbox and clearing all messages from it. Not something I am fond of doing at midnight.

I will be calling our phone operator today to enable caller ID on the lines to see if it is one particular customer that could be doing something that is incompatible with the ipecs system.

This is a real deal breaker for us. I can bandaid it by training the after hours call operators to clear the messages at set intervals but would rather find the cause of the problem than try to do a temporary fix.

Has anyone had this issue before?

Is there a way I can get access to system logs to see if anything is happening on the ipecs system?
 
Some systems move the wav file messages, and some keep a copy both in the voice mail part and in the Exchange mail server.
If messages are copied from the iPECS VSF to an Exchange mail function, these messages should either be deleted af the copy or a message retention of maybe 1 day should be enabled.
This message retention deletes the wav files after one day.

I don't think the problem is happening with the Exchange server.

We receive between the range of 30 minutes to 1 hour of messages per night which are cleared every morning. The iPECS 100 can handle up to 200 minutes (minus custom messages) of audio which we are not even getting close to.

The problem that occurred last night, which has happened once before in the last two weeks is that we get a message through during the night that is unplayable when emailed through. The total amount of audio last night when the system was saying to people who had called that the "system was full" totaled only 30 minutes.

I can tell if the person responsible for clearing the messages in the morning has done it or not by the count on the wav file attachment. If the system has been cleared the attachment filenames start from msg_5.wav onwards. If they haven't been cleared they will just keep incrementing from the night before.

The average file size of messages is around 300KB. When I get a message that causes the system to think it is full the wav file attachment will be only be around 100 bytes long.

I have the iPECS system (VSF User Maximum Record Timer) set to 600 seconds. This is in case someone calls to leave a message and forgets to end the call. This happened last night where I had a message that was 9:59 long with a file size of around 5mb. I have our exchange server set to allow attachments of 100mb just in case. So I don't think it is an attachment size issue.

I did have the (VSF Valid User Message Timer) set to only 1 second instead of the default 4. It's a possibility that a message of only one second could be too small and causing the system to glitch. I have set it back to the default of 4 as of tonight to rule that out.
 
There is an Option in PGM 111-113, Station Attributes.
Option 76 - VSF MSG - Delete Message .... Turn this ON.

When the .wav file is sent to the SMTP mail server, the system will delete the VSF msg on the system.

This will stop the VSF from filling up.

And remember this is a station option, so can be set per station.

That option would solve my problem completely.

On the web interface I only have up to option 75 (VSF MSG Date/Time)

The version I am running MFIM/AU95M-E.0Dr APR/09

Is it possible this feature was added later?

It is a feature that comes in later software - use
MFIM 95M-5.0Gs or above
