How to determine FAX line and storage clearing

Alright, one my supervisors wants me to put a FAX machine by a guy we had move near my office. There is 4 phonejacks in this corner and I don't know which is the fax, but apparantly there USE to be a FAX here so one of them has to be.

Is there a way to find out that via the meridian console?

Also, when I am on the console I frequently get a "Volume near full capacity" message. I assume that means there are a lot of people around here who have been saving voicemails for who knows how long. How can I clear that?

On the fax machine, you can't tell what jack from the console.

Simple way is to take an analog phone and plug into each jack. If you have a digital line programed you might hear a high pitch tone or nothing at all, if it is a fax line you will get your dial tone and can call a station with a display and see what extention you are calling from to identify the number.

if you check each jack on the wall and cannot get a dialtone you will need to build a 500 set.

the best way to do that is print an existing 500 set so you build the new one the same way. once built in the PBX you will have to run jumpers from the TN you used to the MDF that the jacks go to. hopefully it is labelled for you, if not you will need a toner to determine which one it goes to. if you have no tools there a toner set and a telephone test set (butt set) and a punchdown tool should be bought for you.

 
On the voicemail, the first thing I would do is to go through and delete and mailboxes that should not be there, like employees who are no longer working there etc. that will free up some of your space, after that try having users delete old messages or reduce the storage settings ont he mailboxes.
 
Since all faxes are analog, you should be able to take a standard telephone and plug it into all the open jacks. Once you get dialtone, call your receptionist or anyone with a display, and ask them what number you are calling from. If it is a DID verify with the receptionist that the number is not already published for someone in particular. If the number is not in use.. you should be good to go.

If your MMAIL is nearing full capacity, you should put out an email to all users to delete needless voicemails. The next thing you should do is go into your TOOLS menu and run an audit (although this should be running on its own). I would hold off until after hours to run a backup, then the audit. You can also go into USER ADMINISTRATION and run LIST on STORAGE LIMIT EXCEEDED (or something like that) and you could also run a check on X amout of days since someone logged in (I used to use 30 days). If someone has not checked their voicemail for 30 days.. then why do they have it? That should help you narrow down where excessive disk space is being gobbled up. Just remember, do a complete backup before doing anything.. you never know.
