Hi,

I have generated a report. When i export it to excel, there are spaces bet the fields and the data

key: | represents line in rpt and (space) represents empty cell in excel.

eg output in rpt:
-------------------
Time|CallsOfferes|callsAnswered|
________________________________
9:00| 23 |23 |
________________________________
9:15|
________________________________

eg output in excel:
--------------------

Time (space) CallsOfferes (space) callsAnswered(space)
(space)
9:00 (space) 23 (space) 23 (space)
(space)
9:15

--------------------------------------------------------
how do export the rpt to excel without the space(empty cells)?

Thanks!

regards,

Exporting to excel from crystal has always been an inexact science at best.

The real question here is why do you want to export to excel?

Typically, people are much more comfortable in excel and export to excel for the sole purpose of further manipulating the data. If this is the case, you should strongly consider writing a complete report that looks exactly like your desired end output. This is doable about 99.99% of the time. In fact I have yet too find a reason to export to excel.

If there is something you do not know how to accomplish in Crystal, start a new thread, and learn how to do it.

My client wants to keep the copy of the record in a excel, also, I've to merge 2 records from 2 different servers from 2 different system into another crystal report n summarise the values in the 2 records. I'm getting the data from symposium server which only reads data from one server at a time. So, i'm thinking of exporting the records into excel and then summarise them into one record in crystal report again.

isit possible?

thanks!

Have you tried exporting the results via ODBC and then creating a new report based on the table you exported the results to?

no havent. btw, how do i go abt doin that? sorry, i'm a beginner.

Hi

Align your data in the Crystal Report using the vertical tabs with a tab for the begining and a tab for the end of each field. Use the end tab of one field as the start tab of the next so that all your fields are vertically aligned into columns and there are no empty gaps between them. Exporting into Excel in this manner will ensure that your columns are in the correct layout/order in the Excel document.

You just go to export like you would normally, and then scroll down til you find ODBC. What you will notice though is that it will be ODBC and then the databases which you've got a connection to, so make sure you get the right database. Then you just give the table a name and it will export all the records into that table for you.

Also you might need to have a higher level of access to the database to do this. Not too sure about that one though as I'm usually given access to everything when I'm on different sites as I have to create views sprocs etc..

Will try n keep posted.
Thanks!

i'm using the crystal report v 9 bundled with visual studio .net 2003. i dont any vertical tab tool in there. may i know under which category is it in? i may have missed it out.

I think by tabs Ian means guidelines, appologies Ian if thats not what you meant.

I've just exported a report to excel fine and without any spaces. All I done was to put each field/formula next to each other so there were no spaces at all between the fields.

Then when I exported I got the desired results.

but my client wants a line to be drawn between the data(values)..think thts y there r empty cells between each field and data.

btw, Steve, u mentioned that i could use odbc to export the reports as tables...but the 2 reports that r to be merged are in 2 different systems(client pcs).

thanks!

It shouldn't matter when exporting the data to odbc where the datasources are held as crystal will just literally extract the data from the report and put it into the database and table you wish.

The only drawback with exporting to odbc is that if new data is entered into the database you will have to export the report again to ODBC.

Let me know if you need some more info.

Thanks

Hi Steve,

I tried merging the 2 reports using ODBC method tht u mentioned. Whenever i tried to generate the report, the application produces error and closes by itself.
Do i need to keep the tables used in the 2 templates in this merged template or can i delete it?
(i tried having the previous table intact n removed..the application closes on both occasions).

Is there any other better method?

Crystal can't export to an ODBC target table if that table already exists. To overcome this limitation, you may want to consider the 3rd-party Report Managers listed at:
My Visual CUT software is one of these tools and it can be used (interactively, scheduled, or triggered from your own application via a command line) to also APPEND TO or REPLACE existing tables when doing ODBC exports.

However, before you go in that direction, consider linking to your data sources (for example from MS Access), doing a UNION ALL query, and using that as the data source.
