hi you all,

how can i create a button on a form to open a report which only has the information of that record?
I only have one table (employees) and i sometimes i want to email the data gathered (name, surname etc) to other colleques. Is there another way to email data of a single record other than using report which only has the data of a single record?

1. To create a report based on the form do the following:

Create a query that will show the data (meaning you have to pull the data from a table or another query that holds the data you want to display).
In the query drag the key field from your table and drop it into the boxes at the bottom of the screen. There should be field called 'Criteria'. Next to this you should put this in: [Forms]![YourFormName]![PrimaryKey]

Save the query. Use this query as the basis of your report. If you don't understand this please send an e-mail to me at: jbehrne@hotmail.com, I have an example database that shows how to limit reports to a record displayed on a form.

2. Search the forum - there are plenty of examples on how to e-mail data from a form to other people.

Andy,

If you need a "quick and dirty" rather than a polished user option, you can:

Open the form.
Select the record of interest.
Select Print from the File drop down menu.
Choose Selected Record(s).
Print

That gets you a printout of one record in the form's format.
But you can't send it directly as an e-mail attachment.

Or,

Open the form and select the record.
Choose Tools \ Office Links \ Analyze It with MS Excel.
(Brings up Excel with selected data)
Format as desired.
File \ Send To \ Mail Recipient (As Attachment)
