Can anyone provide a step-by-step instruction on converting a wave file to the proper format for essential voicemail and how to upload it as someone’s outgoing greeting?

For both an individual users mailbox and a group mailbox.

This is for outgoing messages, not auto attendant prompts

Thank you.

I suppose you mean for group and individual mailboxes on incoming calls...
First of all you should start from a wav file (no MP3) edited as 8KHz, 16 Bit, Mono. MP3 is not allowed and ripping a wav from a MP3 neither because MP3 is a lossy format.
Then you can select the LVM Greetings utility from Manager to create your own .c11 file.
Finally you can send it all in the SD in the folder system\dynamic\lvmail\aag
Follow the online help or the Manager manual

  • Use LVM greeting utility to convert WAV file to c11 with the following settings:
  • Input file: the WAV file name (8KHz, 16 Bit, Mono)
  • Output file: username.c11 – this is the Avaya username for the extension needing the greeting
  • Output file type: Greeting
  • User Extension: The Avaya username for the extension needing the greeting
  • Format: G711
  • Upload the file to the SD Card in the “\System SD\SYSTEM\DYNAMIC\LVMAIL\AAG” folder.
Adjust the "Name" according to the recording type you are uploading (AA Menu, User Name, Group Name, User Greeting, Group Greeting, Group Announcement 1&2, etc)

When I tested initially it did not work, I got the “greeting not recorded” message. After trying again later it was there so give the system a couple of minutes to update and test.

After uploading .c11 files to the IPO, go to System Status > System > Memory Cards > System SD and Stop the card, then restart it. Go to Voicemail and wait for the Voicemail type to change from None to Embedded. Faster than waiting for the system to refresh

Here is a step by step document for you.
pay attention to the creation of the log file (only needed once) otherwise the Manager will give you an error every time you try and create an audio file.
