Crystal 9 - Cross Tab Report

Data in database:

Level Name and Client Name Daily Hours
surname Worked
Manager Peter Jones Client 1 8
Client 1 8
Client 1 8
Client 1 8
Director Jan Day Client 1 8
Client 2 8
Client 2 8
Client 2 8
Assistant Peter Client 1 8
Client 1 8


Cross Tab Report should look like this:

Level Name Client Week 1 Week 2
Manager Peter Jones Client 1 40 40
Director Jan Day Client 1 8 8
Client 2 16 16


My problem in the Cross Tab report:

I can see only the first client and not the second and third client underneath each other. Please assist.


 
Please give more detailed informations on your report. how does your report look like, which groups, which details?

I did not group any fields, nor added anything to the details section. It is purely a Cross Tab which looks like this:
COLUMNS
ROW Weekending hours worked
Level
Name&Surname
SUMMARIZED FIELD
Hours worked
(These week hours should be 40)


The Summarized field should show one client per line, all underneath each other. That is the clients where the auditor for example work for that week (8 hours per day totals 40 hours per week) I could extract only 2 client names by using the Min and Max formulas. You can try the following to see how it physically work

In excel, type the following and add it to the cross tab

Level Name Client Hours
Manager Janice Ross Microsoft 8
Manager Janice Ross Crystal 8

You will not be able to see the second Client from the cross tab.

I did that too and it did'nt work. I am extracting from a Lotus Notes database and it only shows one client but when I add max and min it shows only two clients instead of all 4 clients.

It is more helpful if you explain the results you get instead of simply saying that something doesn't work. It doesn't make sense to me that this wouldn't work--you are inserting a crosstab, not creating a manual crosstab, right?

You also could try using a different summary. Insert the hours field multiple times as the summary field and use NthMostFrequent or NthSmallest and increment the N by one for each summary up to the maximum number of results you expect per row group.

Thank you so much. It worked 100%. This is the first forum where I found any replies to my requests at all. Im am not using a manual cross tab, but a insert cross tab report extracting from a Lotus Notes Domino database.


BUT,

I now have a different problem.




My report now looks like this:

Manager Name Surname ClientName;ClientName;ClientName
Hours;Hours;Hours;Hours

Sarie Minnaar Microsoft;Microsoft;Microsoft;
Microsoft;Microsoft
8;8;8;8;
The hours must be next to the Client name in brackets, in one row.



It should look like this

Manager NameSurname ClientName (Hours)
Sarie Minnaar Microsoft (40)



Please would you help me.

You should be adding {table.clientname} as a row, not a summary field. To get the hours inside parentheses, you would have to create a formula to use as a summary instead of {table.hours}:

-{table.hours}

And then go to format field->number->customize style->negatives and choose (123).
