Hi all

call me thick but i cant archive my inbox in outlook 2003 which is linked to exchange 2003.

i have setup archiving in tools\options\other\auto archive to archive every 7 days.

when i set off a manual archive for items older than 6 months, all folder etc it still doesnt archive.

i do get a aet of archive folders, but there is nothing in any of them.

my inbox is large at 2000 messages and im running out of space in my exchange mail box

can anyone help?

Just to be sure, check that you have autoarchive set in 2 places. First, go to Tools - Options, Other and check the box to autoarchive, and make sure the default archive file is the one you set up. Then after you close that dialog box, right click your inbox and look at properties. There is an AutoArchive tab, and each folder needs to be set to clean out old entries. Also make sure it is set to save them to the default archive file.

you can also create a personal folders file (PST) and manually archive items there. If you notice, auto-archive states it will "archive or delete" mails -- I personally wouldnt trust the possibility that it deletes what it finds appropriate. you have much more control over what gets put where with a PST.

(file->data file management->add->personal folders file->choose location->ok)

note you may have to open the "tree view" of folders to see the PST.

I second that. I personally advise the .pst, but many people seem to like the automatic (if not perfect) method that Mr. Gates provides. In Outlook 2K, choose File, new Personal Folders and follow the dialog boxes.

thanks for the messages.

i have tried both methods. auto archive and manual archive. my inbox is set to archive all items older than 6 months.

But it says it is archiving, creates all the archive folders and folder stucture in my inbox, but they are all empty.

any ideas?

in this case my term manual archiving meant to actually highlight a block of emails or an entire folder, and then right-click and choose "move to" and then select the personal folders area to move the items to. this is totally separate from the built-in archive function within outlook. it is more time intensive but you know exactly where the items are going.
