importing pre recorded announcements onto IP Office for Auto Attendant

importing pre recorded announcements onto IP Office for Auto Attendant

(OP)
Hello everyone

Please excuse me for asking a silly question as this issue came up during my first IPO installation the other day. I set up an Auto Attendant for incoming calls to go 4 destinations which was straight forward, but the customer provided me with their own professionally recorded announcement as a *.wav file.

I had already looked on Mikes Cook Books excellent forum and was able to upload a Music On Hold file via the "Embedded File Management" tool without any problems. I was hoping that I could do the same thing for any announcement files, but all I was able to do was to access the announcement via a shortcode and just use a quiet room with my laptop and phone next to each other to copy the file across as if I was speaking into the handset.

I also had an Out Of Hours announcement to do with another pre-recorded file and again, I had to do this using the shortcode method. If anyone has a upload method that works, then it would be greatly appreciated please?.

In IP Office under the Auto Attendant section. before the shortcode is a drop down box called "Recording Name" I was thinking that it was possible to immport a file and find it by clicking on that area?.

Should have given them VM Pro :)

File-->Advanced-->LVM Greeting Utility is what you are after I believe.

Thanks for that as I tried it and couldn't get LVM to work correctly. I'm assuming that had it worked, then the file would have appeared in the "Recording Name" box?

No idea, never had to use it, always use VM Pro when a customer wants things like this.

You have to manually type in the "Recording Name" that you assigned to the converted file in the drop down box, it won't automatically appear.

RE: importing pre recorded announcements onto IP Office for Auto Attendant

Hi Firebird

you need to upload the converted file to SD card, ,dynamic, AAG folder
this is were all pre recorded announcements go.

the system can take up to 5 minutes before it is recognised.

as Touchtone tommy says you then need to MANUALLY type in the name in the drop down box in the Menu.
type in the same name as you called the file in the RECORDING name box.

if you named the file DAYAA then type in DAYAA as shown above.

just one thing,,you sometimes have to run the Manager in ADMINISTRATOR mode to get the converter to work otherwise it will give an output error.

there is an FAQ for this

RE: importing pre recorded announcements onto IP Office for Auto Attendant

Sizbut wrote a excellent FAQ about it, read it,
I wrote a addon FAQ on how to batch convert multiple wav files to embedded VM sound clips.

That should be enough to succeed.

Thanks guys

I still had a few problems, but finally got th LVM utility working by doing the following things.

Against the "Avaya" folder in "C:\Program Files (x86)\Avaya", I right clicked it and went into "Properties" and navigated to the security tab.
In there, I clicked on the bottom "Advanced" button to bring up the "Advanced Security Settings".
Click on the "Add" button and the top "Select a Principal".
Now enter in the object name of Everyone and click the "OK" button.
Once done, check that the basic permissions are set to "Full Control" and that it applies to this folder and all sub folders.
Click the "OK" button. This should show all of the Avaya folder changing it's permissions to have full control.
Click OK a few times to go back to the folder name.
Right click the "Avaya" folder again and select the "Properties" option and this time in the Security tab, you should see the "Everyone" user name with full control enabled.
Finally scroll down all the available user names and change them where possible to give them "Full Control". Click OK to get all the folders to have their permissions changed to full access.

You might need to reboot the computer.

I was given a good PDF today that works that I have attached. The FAQ's on Tek-Tips regarding this topic were a little misleading as I had to use the "AAG" folder as Snowman50 had suggested.

RE: importing pre recorded announcements onto IP Office for Auto Attendant

Hi Firebird

I usually run the ipo manager as Administrator.

That way the LVM utility will always work.

Never had any issue this way.

Thanks Snowman50 for your suggestion, I was aware of that solution, but it's easy to forget to do that and at least I don't have to worry about it anymore and also the workaround will work for other programs that don't function correctly such as ones that collect data / capture files or need certain file types updating etc.
