Hello,
I’m looking for help with an issue with Purchase orders in Macola version 7.6.400a with sql server 2000.

As a background, one of our IT people went through a procedure to fix a problem with printing purchase orders. This was done in three steps.
1) Delete temp & cfg files older than todays date
2) From the progression workflow explorer, go to System manager/Processes/Initialize Distribution/Purchase order files.
3) In the checkboxes, check off P/O Buyer Print File then hit save and agree to initialize.

More than 1 checkbox may have been checked by accident because now we are getting the following symptoms.

  • We are getting error popups like:
    PO Number is Used in History File – Use another number or purge history
  • Searches for open or closed POs through the “Open Purchase Orders by Vendor” screen do not return any results.
  • We can enter POs, but cannot access them after they have been entered.

Any help is greatly appreciated. We would like some consulting to help fix our database if possible.

It sounds like you have no POs on file. To confirm this please run the following SQL query to see if there any POs in your system.

select * from poordhdr_sql

If no records are returned, then the po order header was initialized, and you need to restore all PO tables from backup. The PO buyer print file is one of the few tables you should EVER initialize. If anything else was initialized and you didn't go through the step to export it first, your only choice is to restore from backup.

If you did export it first you can import it back in.

Not being able to access a PO is also indicative of some missing tables. The history issue is strange to me. I would start with the restore from backup and initialize ONLY the POBUYERP table.
