word opens 2nd instance of access

i have word file that is opened from a button on an access form. the word doc is connected to a query in the access database. if i open access by clicking the access icon, then find my database everything works fine, i.e. clicking the button in access opens word and the data is passed from access to word. if i open the database just by double clicking the database file, clicking the button opens word then word opens another instance of access and looks for the data. this fails because the query word gets data from is populated by the form with the button to open word.

how is the database opened differently by opening access first then finding the database and opening it, rather than just opening the database by double-clicking the file from its directory.
