Using Exchange 5.5 and Outlook 2000 - there appears to be no way to get reminders from appointments in a Public Folder Calendar. Is there some way to automate having appointments placed in the public folder copy themselves to an individual calendar where reminders can be generated. I don't see the option to write a rule on an appointment. Would a macro do it? If yes, any hints on the code?! Thanks!

I would first question why or how you are utelizing a public folder calendar to do more than book a resource or store things like vacation information.

You can instead create calendars that can be shared by departments. In my office, we have one calendar acting as a shared resource to allow folks the ability to enter

In the above case, we all get reminders and the like _when we have the calendar open_.

In essence, you need to have an owner of any resource that ties back to a client, whereupon the client can do what it does to render a notification/reminder/etc...

As I look at this, it may be as simple to set each individual who require notifications as the owner of the calendar. Perhaps there is a lesser level of permissions you can set. This should be done at the server.

I'd be curious to know whether or not the above works.

Here's the situation....in our Public Defender's Office we have five attorneys with many many appointments each. The secretary schedules them all onto a calendar in the Public Folders and then we have set custom views so that each attorney can view only their own appoinments. (Filtered by category) I know we can use the secretary's calendar as the main one and then share it out, but having the secretary's mailbox show up in everyone's folder list is a little clumsy. Is there a different way to set up a shared calendar that will generate reminders? How do you get the reminders to go to the right attorney, or will they get reminders for everyone's appointments? That would be a disaster! (By the way, I checked the Public Folder and they are currently all set as Owners....no reminders.)

Okay, I was stumped for a while, but think this is an interesting idea. I resorted to doing some searches and found the following resources that may assist you. I wish I had time to do some testing, but will have to punt to you to see if any of this is worthy.

I did catch a snippet from a collegue indicating that public folders do _not_ send notifications. Hm.

Below has some interesting ideas, including inviting the public calendar to an appointment on the individuals' calendar.... there also seems to be some third party tools to assist, though I am skeptical. The Outlook Team Calendar looked promising.

Hello-
I think I found a solution (thanks to the link you provided)! I used the Folder Assistant to automatically forward appointments to the Inbox and then another rule to move appointments from the Inbox to the individual Calendar. Kind of clumsy but it will get the job done. I hope newer versions of Office address this issue!
 
Hi, I'm trying to do the same thing. I looked at the link, but must be missing something. When I open Folder Assistant for my Public Calendar, the rules box shows Message From, and Message To and Subject. I've toyed with all of these fields while leaving the Foreward To to myself, but nothing shows up in my inbox. After creating the rule, I just go to the calendar and create an appointment, right?
 
OOPS, found the answer in Thread thread10-335364. Just had to give myself admin privs for the folder at the Exchange Server, even though I was already the owner. Tek-Tips rocks.
