i heard someone talking about software for ups what exactly is that and what is it used for and why would u need it

I assume you mean a Uninterupted Power Supply? The software is for managing the UPS if it can be managed. If the power goes out the software can detect that and shut down the computer or Server gracefully withour loss of data, etc. Hope this helps.

Some software will also e-mail you to say there is a problem.

e.g. The APC software will tell you if UPS is on battery, there were brown-outs, self test failed etc. etc.
