I have CR 8.5 and was asked to create a report that will show the top 10 Vendors between a certain period and not less than $20,000. i have a report that was created by someone else for Top 10 Purchases by Commodity codes and was wondering after i open that one up and rename it to top 10 by vendor what i need to do so that i can create the report for top 10 companies. i am trying to follow what the person did to get it, however i am having a little difficulty trying to understand it. Help is not installed for Cystyal Reports 8.5 so i can not get help from that. Any assistance would be greatly appreciated. i am a beginner in Crystal Reports.
Thanks,

I went to Report/top n/sort group expert and there is one already there,(from the original report that i opened and saved as a different report) i can not delete it, nor can i edit it, nor can i create a new one. i need to have the report show the top 10 companies that we purchased from, the purchase amount is equal to or greater than $20,000 and between july 1, 2006 and june 30, 2007. is there another way besides report/top n/sort group expert? or is there a way i can edi the one that is already there?
Thanks,

Click on the "For this group sort" dialog box and select "Top N". Then enter 10.

The to get the dates, enter a record selection formula. To get the sum only on those vendors >$20k, enter a group selection formula.

Ok i am going to try to create a report instead of editing one that i have. my question now is: in 8.5 is there an "is between" function? if so, where is it? I want to do a IF, Then, Else statement that says:

If Date is between July 1, 2006 and June 30, 2007, and company purchase amount is greater or equal to $20,000.00
Than purchase year price. (which I believe i would have to create a formula for that as well)
Else (nothing will be done)

Do i have to do anything else with the IF Than Else statement. Or is there another way to get what i need to get?

Thanks,

You should not have to create a new report. This is a 5 second fix if you already have a group.

Use In/To rather than between. For Example:

{CustomerName} in "A" to "AZZZZZ"

I wish it was that easy. I see that you are an Exact Software Consultant. Do you know if there is a report that i have not found yet in MAX that has already been created for what I am looking for? again the parms are top 10 vendors (we purchased from), that the purchase amount is equal to or greater than $20,000.00 from July 1, 2006 to June 30, 2007.

Thanks for your assistance.

I hardly if ever deal with Max (last exposure 2001). I don't know if this exists, but if you have a report to use as a template and you aren't finding this an easy report, something is wrong with your version of Crystal.

Lets take this one step at a time, does the report you have already have a group on customer, and no other groupings?

The report that i am using as a template is pretty simple.

it has a Report header
Than a page header with an @date Range formula

Group Header #1a has Group #1 Name as a text box
Group Header #1b has part number, order number, Description, Quanity, Unit, Unit price, Extend price which all are text boxes.

Group Header #2 has Group #2 Name as a text box as well.

Than the Details section that has field objects from the DB's
than Group Footer #2 which has a field object--- Orgqty_10 and a formula for cost conversion which i do not need.

Thats it. nothing else.

so i am not 100% sure i can use this ... it does have the date range and the company name, but what it does not have is the greater than = to part and something for Top 10 Vendors.

First, you did not answer my question - is it grouped by Vendor? Teliing me the fields in the group header and footer does not tell me this.

Here is what you should do:
1) Save the report as some other name so that your existing report does not get hosed.
2) Delete group 2
3) Right click group footer 1 and select "change group". Make the group by field the vendor field if it is not already.
4) Insert a summary of dollars purchased by vendor if it does not already exist.
5) Click on report, TopN/Sort Expert, and select Top N and make N=10
6) Enter the record and group selection formulas that I already referred to.

If you fail at any of the steps above, post back with specifics.

Thank you for getting back to me. I will work on this first thing in the morning and post back with any issues that i might have. :)

if i am not mistaken: it is grouped by company name.

Company name being the same as Vendor Name?

It still has 2 groups, you need to delete one of them.

I finally was able to get the report to what I want with one little problem. I am grouping on order number and i need to some how only show order numbers that begin with 75XXXX and eliminate all the other order numbers 100000 to 699999. How can i do that?

Thanks

Never Mind. I figured it out. Thanks for all of your help you have given me!
