Table of Contents in Word

Hi Everybody:

I am trying to use a concordance file to generate a table of contents in Word. Unfortunately, I haven't done this process before. So far I have managed to successfully create the concordance file and Insert it (Insert --> Index and Tables --> Automark button). However, when I try to then generate a table of contents from the fields, it's not doing exactly what I would like.

My output looks something like

C02345 Coding .................... 4
C02348 Software Support........... 3
C02352 Beta Testing .............. 1
C02360 Alpha Testing ............. 2

Right now it is sorting the table of contents alphabetically by the first alpha numeric code. Is there a way to have it sort alphabetically by the first word (Alpha, Beta, Coding, Software)?

Where does this prefix come from (C02345 Coding)?

I've usually seen an INDEX generated from a concordance file rather than an TOC. A TOC is usually arranged in the order of occurrence in the document, while an INDEX is arranged alphabetically.

Yes, you are right....sorry, I have been working with an Index, not a TOC. It is going alphabetically, rather than based on page numbers.

The Coding is coming from the field that is being used to generate the Index. So basically, I'm hoping there is a way to generate an Index by choosing which portion of the field to base the alphabetical listing. In other words, generate the index in a table (code in column one and text and column two) and then sort the table based on the second column. Or perhaps there is a way to tell it to alphabetize the index based on the 8th letter in the field or some other creative solution.

Any thoughts?

Do you want to INDEX on both?

Reverse the columns and ADD to the concordance file.

I'm really sorry for my confusion, but I'm not sure I follow.

I want both the code and the text included in the index. I need the code to be listed first, but the index should be arranged alphabetically by the text, which needs to come after the code.

Unfortunately, I'm new to concordance files...how should I set it up?

An out of the box solution, sorts on the text, which starts with your code.

I suggested that you ALSO, put what you are referring to as TEXT in column 1 and the Code in column 2, so that you will have TWO entries for each row

Now I'm running into a problem with my concordance file altering the formatting of the text. :(

Once I insert the concordance file, my existing text format is altered. As I have been playing around with different scenarios, it seems to be caused by tabs between my code and my text (C02345 [tab] Software Support). I would like to keep the tab for ease of readability...is there any way to do this?

It stripped it of the style I had applied to the text. My Style was basically a bold, bigger font and it eliminated the style and essentially returned an unformatted version of the text.
 
Does it do this to the text elements in your document OR to the references in your INDEX? And INDEX does not inherit formatting. You assign your own consistant formatting for the INDEX.

It alters the text elements (that correspond to the concordance file) throughout my document.
