Saving changes to an Excel 2003 spreadsheet posted in a Public folder

Hey folks.

The company I work for has a loan equipment division and we're trying to help track the equipment in an Exchange server public folder in a spreadsheet. Basically as the equipment is lent out we fill the fields in so that the office and the field reps can see where everything is.

Well, it has been a failed project by my predecessor so we're going at it again. As we update the fields and save the changes some workstations work fine but others with the same public folder permissions and document permissions don't. Sometimes the changes save when closing the document and sometimes it pops up a box like a save as type situation. We obviously would like the changes to take effect in the spreadsheet in the public folder.

The original document might have been created in Excel 2000. There is a mix of 2000 and 2003 around the office but the editors are all on 2003, the reviews will be on 2000.

Why does the program ask changes to be saved to another location and not in the actual spreadsheet? Thank you for any help.
