How do I assign a user a mailbox?

Let me explain, someone has left and I need to give the new person the same mailbox. But I can not see where to do that. I have created the user in Active Directory and set the mail alias. But when I try to open the mailbox in outlook I wont let me.

Also when I am logged in as Administrator I can not open other peoples mailboxes.

Is there anyway that this can be done, for when people leave or are away or need other people checking there mail.

You have a couple of options here. Privacy regulations usually dictate that e-mail is private and confidential therefore by default you should not be able to open mailboxes using the Administrator account. You can however assign this permission if you wish.

if you want the new user to simply be able to access the data in the old mailbox then you can give that new user permission to the mailbox.

Open ADU&C from the Micrsoft Exchange Program group on your Exchange server or where you have installed the Exchange admin tools.
Select view and select Advanced features. Expand the users and select the properties of the mailbox that you wish to give access to. Select the Exchange advanced tab. Click Mailbox rights and add the user that you wish to have access to the mailbox.

If you wish to mount the old mailbox to the new users account then you need to create the new account as a non-mail enabled account. Then you can delete the old account and mark the mailbox to be deleted. Then open System Manager and expand the server that holds the maibox until you can see the mailboxes. The mailbox should have a red cross if it does not then run the mailbox cleanup agent from right clicking the mailboxes folder. Once the mailbox has a red cross on it you then right click the mailbox that you wish to use with the new user account and select re-connect and supply the account you wish to use.

You could also export the data to PST using exmerge and then re-import it into the new mailbox or you could rename the account and mailbox as you wish.
