One of my clients' has asked me to configure Exchange so that incoming e-mail for certain users gets copied into a 'monitoring' account/mailbox.

He believes that some of his employees are abusing their e-mail facilities so wants a copy without them knowing.

Can somebody please tell me how this can be done?

Can this be done for outgoing e-mail too if necessary?

You can forward the email by right clicking the user object in AD USers & Computers and choosing properties. Ont he Exchange Tabs you will find a Forward To box and can forward mail that way.

Do you have Exchange Standard or Enterprise?

To capture all mail both incoming and outgoing you could use the Journaling feature, but this works at the info store level, so you would want to move the users to a seperate store. This can only be done using Exchange Enterprise edition. Otherwise you will be journaling ALL users mail and thus multiplying store space x2.

I hope you find this post helpful.

Mark

Make sure your client has a decent acceptable use policy allowing them to review e-mails without warning.

Becareful outonalimb there are many legal implications of email monitoring.

Interception of electronic communications and the monitoring of email messages within a UK workplace is governed and regulated by many UK laws, regulations and government guidelines.

These regulations are trying to get the correct balance between the protection of the employer (to maintain business operations) and the employees’ rights to privacy for personal communications.

Most of the relevant UK laws concerning email communication, monitoring and investigation are listed below. This list is not exhaustive.

Please Note: Always remember to seek professional legal advice on any matters that may rise from the information presented.

Computer and Communication-related Laws & Regulations
Interception of Communications Act 1985
Computer Misuse Act 1990
Data Protection Act 1998
Electronic Communications Bill 2000
The Data Protection (Processing of Sensitive Personal Data) Order 2000
The Telecommunications (Lawful Business Practice) (Interception of Communications) Regulations (LBPR) 2000
The Information Commissioner’s Employment Practices Data Protection Code, Section 3, Monitoring at Work
Human-related Laws
Obscene Publications Act 1959
Public Order Act 1986
Defamation Act 1996
Human Rights Act 1998
The Crime and Disorder Act 1998
Freedom of Information Act 2000
Employment-related Laws & Regulations
Regulation of Investigatory Powers Act 2000
The Employment Equality (Sexual Orientation) Regulations 2003
The Employment Equality (Religion or Belief) Regulations 2003
Employment Relations Act 2004
UK Employment Equality Act 2006
Other related EU & UK laws concerning employment law and working practices may also be relevant and will need to be investigated by your corporate legal team.

I think the law states somewhere as well that all Employees must be made aware that communcations via email are being monitored. I think if you dont and an employee sues you can be in all sorts of trouble. Just worth investigating before implementing! :)
