fresh start in I/C 5.4

Hi,

We run Accpac 5.4 and are using every standard module that comes with Accpac including Project Job Costing 5.4.

Our inventory is pretty messy with very old items not being used anymore and descriptions wrong. It has been suggested to delete all items set up in Accpac and start new.

I don't really like such drastic measures and would rather try fixing what we have, even though this would take much longer.
However if I can simply export all currently existing items in I/C and then delete all I/C items in Accpac what would happen to the history of P/O, O/E and most important for us Project Job Costing?

With the exported data, I would delete some items completely, others just change details such as description but also item number. I'd then import them back into I/C

Will the items issued to PJC still show?

What would you do to clean up I/C?
 
If an item has been used then you may not be able to delete it - unless you clear all transaction history and delete all transactions using the item. So there is your first hurdle.

Just some notes:
- Exporting items does not delete them from IC
- Deleting items from the exported file does not delete them in IC
- Changing item numbers and importing the changed items creates NEW item numbers, the old ones will still be in IC

What would I do?
- Upgrade to 5.5 and use the item number changer to merge and change item numbers
- Make the unused items inactive and delete inactive items
- Do a Physical Inventory to clean up quantities and costs
- Use export/import to correct descriptions

thanks for your quick reply.

I've got 5.5 running on a test machine but can't upgrade because Sage decided to not allow job related purchase orders for serialized items anymore - just another thing I need to resolve. (it actually allows you to enter PO's, you just won't be able to receipt them!)

I checked I/C 5.5 but couldn't find an item number changer.
The help for "editing item records" tells me I can't simply change an item number:
"You cannot directly change an item number. You must first create a new item record with the new number, copy the item information to the new record, then delete the old item record."

Since I'm stuck in 5.4 until the PO issue is resolved I would do the following as per your suggestion:
- Make the unused items inactive and delete inactive items
- Do a Physical Inventory to clean up quantities and costs
- set items which require a number change inactive
- Use export/import to correct descriptions AND item numbers
(items with number changes are imported as new items)

 
Something like that...
Btw Item Number Changer is a separate install and comes free with 5.5
Be careful with deleting item numbers, this normally leads to integrity errors in OE & PO and other modules like PM.
