This is one of the more complicated and bizarre issues I have seen, so I am hoping one of you can help me out on this one.
We have 3 users (UserA, UserB, UserC) who access a shared account, this account is used when sending out email to specific clients. Each of them has full permissions for the mailbox of that account, and they have custom permmissions on the Contacts object for that account so that they can all edit it and have ownership of it. In that contacts is a series of distribution lists with N members in it. Each of the 3 users has this account as an extra mailbox in their Outlook folder list.
So the process to send out a messagewould be that:
1) They create a new message
2) They change the "From" field to be from the shared account
3) They click on the BCC field and select a distribution list from the contacts for that shared account.
Where it starts to get really odd is that if UserA modifies a distribution list, she can then follow the above process and everyone on the modified distribution list gets the email.
But if UserB or UserC follows the usual steps, they will get an older version of the distribution list that doesn't include the new members.
BUT if UserB or UserC clicks on the Contacts and then views the distribution list, they can see all of the new members in there. But in their new message following that process, if they double-click on the distribution list once it is in the new message BCC (or CC, or To) field, it doesn't have the new data (so it obviously doesn't get sent to the new members of the list).
BUT if UserB or UserC follows this process instead, then they can see all of the members in the new email, and it goes out to them all:
1) click on Contacts
2) right-click on the distribution list
3) select New Message To Contact from that menu
4) the rest goes as usual
If they do that, then it works just great.
The problem is that these users are not at all computer savvy, it took them weeks to learn just the first process, so telling them now that it isn't working and that they need to do the other process (righ-click on the contact, etc) absolutely boggles their minds.
So what I need to do is make it so that the original process works for them.
Can anyone help me out on this as to why not all Users can see the new members of a distribution list when creating a new message, even if they can see it in the Contacts view, and even when they can add it using a different method?
