adding new records

I have a table called SETUP. When I enter new records in my main view (whic gets data from query containing fields from setup table and my main data table), I would like to have 5 or 6 fields from setup appear automatically in my new record to cut down on data entry. I can't seem to get this to work. As well, at one point it seemed to work, but if I later deleted that record it also deleted all my setup file (which is really only one record with 15-20 fields of setup data).
